How ContentCollab Uses AI
Our commitment to you
At ContentCollab, AI helps us work faster. It does not do the work for us. Every piece of content that reaches you or your audience is written, reviewed, and approved by a real person on our team before it goes anywhere. This policy explains how we use AI, what stays firmly in human hands, and how we protect your information along the way.
Where AI fits into our process
Drafting and research We use AI writing tools, including Claude, ChatGPT, Gemini, and others, to speed up early stages of content production. This might mean pulling together research, generating a first draft of a caption or email, or exploring different angles on a topic. These outputs are always a starting point. Our copywriters rewrite, fact-check, and shape every draft to match your brand voice before it goes to you for approval.
Design and visuals Our design team uses Canva, including its AI-assisted features, alongside ChatGPT, Claude, and others, to produce graphics, carousels, and visual assets. Where useful, we also generate AI imagery as a starting point for original visuals, which our designers then refine to fit your brand.
AI-generated images using your photos Some clients ask us to create AI-generated images based on photos of themselves, their team, or their properties, for example turning a headshot into a styled marketing image. We're glad to offer this. Because it involves uploading your photos to an AI tool, we need your consent before we do this work.
If you provide images taken by a professional photographer, please check your agreement with them first. Many photography contracts restrict how images can be used, and some specifically prohibit uploading photos to AI tools to generate new images. By providing us with images and asking us to create AI-generated content from them, you're confirming that you either own the images outright or have the necessary permission to use them this way, including for AI-based image generation.
Workflow and automation We use several automation and workflow platforms, including N8N, Google Workspace, Ontraport, and others, to connect our tools and streamline how work moves through our team, for example routing tasks and keeping projects organised. Automation helps us stay consistent and efficient. It does not make decisions about your content or your account. Those decisions are made by people.
What we don't do We don't publish AI output straight to your channels. We don't use AI to fabricate statistics, testimonials, or case studies. We don't feed your confidential business information into AI tools beyond what's needed to do the work, and we choose tools with sound data practices.
What stays human
Strategy, brand voice, client relationships, and final sign-off are not automated at ContentCollab. A person on our team reads every caption, checks every fact, and makes the call on what represents your brand well. If something doesn't sound right, doesn't sound like you, or doesn't meet our standard, it gets sent back before it ever reaches you.
Your data and privacy
We treat your business information the same way regardless of what tools we use to produce your content. We don't input sensitive client, financial, or personal information into AI tools beyond what's genuinely needed for the task, and we keep our tool choices under regular review as privacy standards evolve. If you have specific questions about how your information is handled, we're happy to talk it through.
This will keep evolving
The AI tools available to content teams are changing quickly, and we expect our toolkit to keep evolving as we find better ways to work and better results for our clients. We'll keep this policy up to date as that happens. What won't change is the standard: everything we produce is reviewed and approved by a human before it reaches you.
